What does our policy say about data retention for customer records?
Seekra
Customer records must be retained for seven years from the date of account closure, after which they are securely destroyed [1]. Records flagged as part of an active investigation are exempt and held until legal release [2].

Why Seekra Exists

Three problems every large archive suffers from.

01

Knowledge buried in files

Critical information lives inside thousands of PDFs, scans, and Office documents that no one can effectively search. Staff spend hours locating a single clause, and institutional knowledge walks out the door when experienced employees leave.

02

Cloud AI means data leaves the building

Mainstream AI assistants ask you to upload your documents to their servers. For government, legal, healthcare, and financial work, that is often non-negotiable — the data cannot leave your jurisdiction or your network.

03

Answers without sources can't be trusted

When an AI produces an answer with no link to where the information came from, it cannot be verified. In regulated environments, an unverifiable answer is the same as no answer at all.

Capability 01 · Ask

Answers you can verify in one click.

Staff type a question in plain language and Seekra responds with an answer drawn from the organization’s own documents. Every claim in the response is marked with a numbered citation that links to the exact source document and page, opening instantly in the built-in viewer.

  • Natural-language questions — no query syntax to learn
  • Numbered citations link to the exact source page
  • Built-in viewer opens PDF, Word, Excel, and PowerPoint in the browser
  • Critical for compliance-driven buyers who require verifiable AI

Capability 02 · See

Search your archive with a photograph.

Upload a photo, scanned image, or screenshot, and Seekra finds visually similar items across the entire archive using image similarity. Each result shows a similarity score and a label describing what the image most likely shows, plus the documents it relates to.

  • Field inspections, damage photos, site images — searchable without any text
  • Image-to-image similarity with detected-content labels
  • A differentiator almost no competitor offers
  • Works for scans, photographs, screenshots, and document page images

Capability 03 · Speak

Speak to your archive. In Arabic or English..

Seekra supports full voice interaction — speech in, spoken answers out. Arabic is a first-class citizen, with correct right-to-left rendering and Arabic-capable fonts. English sits alongside it with full parity, not as a translated afterthought.

  • Speech-to-text in, spoken answers out
  • Arabic as a first-class citizen — proper RTL rendering
  • English with full parity — not a translated afterthought
  • Built for global organizations where this combination is rare

Enterprise Access Control

Defense in depth, not defense at the interface.

Seekra enforces access at the deepest layer of the system — when a user searches or asks a question, the results they receive are filtered before they ever reach the screen. A user in one department cannot see another department’s confidential documents — not because the interface hides them, but because the system never retrieves them in the first place. Even if they knew a document’s name and tried to open it directly, access would be denied.

Org-tree scoping

Mirror your organization as a tree of companies, departments, and teams. Documents scoped to a node are visible only to users in that subtree — access flows down, never sideways.

4-level classification

Every document is Public, Internal, Confidential, or Restricted. Each user sees only documents at or below their clearance level — enforced behind the scenes, not just hidden in the interface.

Cross-scope overrides

Grant a user read access to a specific document outside their subtree — without elevating their overall clearance. The grant takes effect immediately on the next search.

Offboard with confidence

When an employee leaves, deactivate their account and their existing sessions are rejected instantly. Their row is preserved for audit, so historical activity still references them — but they cannot log in.

Four classification levels

Public
Visible org-wide — even outside the document’s home department
Internal
Default — visible to anyone in the document’s scope
Confidential
Requires clearance level 2 or higher
Restricted
Requires clearance level 3 — top leadership only

Administrators and auditors bypass classification. Every access decision is recorded in the tamper-evident audit trail.

Why this matters: regulated industries require need-to-know access control with auditable access decisions. Seekra delivers this without the operational overhead of per-document permission lists — the organization tree plus four classification levels covers the vast majority of access policies in a few minutes of setup.

Data Connectors

Point Seekra at where your documents already live.

The most common question after a demo is “how do I get my tens of thousands of documents in?” — and the answer used to be “manually, one at a time.” Seekra’s connector framework pulls from your existing document sources automatically, with incremental sync, conflict resolution, and automatic scoping based on the folder structure you already have.

Local / network folder

Easiest start

Point Seekra at a shared drive or mounted folder — new and changed files are picked up automatically, with the right scope and classification applied based on the folder path.

SharePoint / OneDrive

Connect to a SharePoint site or OneDrive folder. Folder structure maps to your organization tree, so the right people see the right documents.

Google Drive

Service-account authentication. Reconstructs Drive paths from the parent chain so you can scope by folder. Shared drives supported.

Amazon S3

Sync from any S3 bucket by prefix. Resumable for large archives (tens of thousands of files).

Azure Blob Storage

Connection-string authentication. Incremental sync detects changes via storage versioning metadata.

Google Cloud Storage

Service-account authentication. Same incremental sync logic as Amazon S3.

Alibaba Cloud OSS

Same sync engine as the other object stores — no separate setup.

SFTP

For legacy shared-host environments where files arrive over secure file transfer. Polls the remote tree on a schedule.

Email (IMAP)

Forward messages to a dedicated ingest address — attachments are added to the library automatically, scoped by the sender’s domain.

How sync works

Incremental sync

Seekra tracks what has already been ingested and only fetches new or modified files. Changes to a source file are detected and pulled in on the next sync cycle.

Versioning on change

When a source file is modified, Seekra creates a new version of the document — the previous version is preserved. If the Seekra copy was also edited, a conflict is flagged for review.

Automatic scoping

Folder paths in the source map to your organization tree. A file in "/Finance/Reports/" is automatically scoped to the Finance team — no manual classification step.

Respects access control

Connectors run with administrator privileges for ingestion, but the documents they pull in are still subject to the same org-tree scoping and classification rules as any other document.

In practice: a typical enterprise onboarding starts with one connector pointed at a shared drive or SharePoint site. Within a sync cycle, the library is populated, scoped, and searchable. Additional connectors are added as more teams come on board.

Intelligence

Three answer modes. One knowledge graph.

Not every question needs the same depth of research. Seekra offers three answer modes — standard for fast Q&A, agent for multi-step lookups, deep for comprehensive multi-pass synthesis — plus an automatically-built knowledge graph that understands the people, organizations, and locations in your documents.

Mode 01 · Auto

Standard answers

The default — one retrieval pass, one synthesis step. Right for most questions: “what does the policy say about X?”, “summarize this contract”, “find the clause about Y”.

  • ›Hybrid semantic + keyword retrieval
  • ›Citations link to the exact source page or timestamp
  • ›Abstains rather than hallucinates
  • ›Answers in the language of the question (Arabic or English)
Mode 02 · Agent

Multi-step research

For questions that need more than one lookup. Seekra’s planner picks from a small set of internal tools — search, list, summarize, find entities, compare documents — and runs them in sequence, then synthesizes the answer.

  • ›Search across the whole library or a specific scope
  • ›List documents and their attributes
  • ›Summarize a single named document
  • ›Find documents mentioning a person or organization
  • ›Compare two documents side by side
Mode 03 · Deep

Comprehensive cited answers

For complex questions that span many documents. The question is broken into focused sub-questions; each runs its own retrieval pass; chunks found by multiple passes rank highest; a comprehensive multi-section answer is synthesized.

  • ›Decomposition into focused sub-questions
  • ›Multi-pass retrieval with cross-pass ranking
  • ›Larger context budget than standard mode
  • ›Multi-section answers with cited headers

Entity knowledge graph

Seekra automatically identifies people, organizations, and locations in every document — in Arabic and English — and infers relationships between them. The graph updates on every upload, with no manual tagging.

Auto-extracted knowledge graph

People, organizations, and locations are identified in every document during indexing — in Arabic and English. No one tags these relationships manually; the graph builds itself.

Co-occurrence relationships

When two entities appear together in a document, Seekra infers a relationship between them. The graph updates every time you add a new document — your enterprise knowledge graph is always current.

Entity-aware answers

Ask “who works on the flagship project?” and Seekra recognizes the names and the project as entities, then traverses the graph to find the answer — not just keyword matching, but content-aware understanding.

Governance · Provable & Tamper-Evident

Every answer traceable. Every PII masked. Every action auditable. Every access scoped.

Six governance pillars, all in production. Few platforms offer this combination — and we can prove each one with a live audit-trail query during the demo.

Tamper-evident audit trail

Every action — login, search, chat, upload, scope change, override grant, user deactivation — is recorded and hash-chained. Any retroactive edit breaks the chain, detectable on demand. Concurrent writes are safe under load.

PII lineage tracking

When personal data is masked before an AI call, the event is logged with a masked sample. Prove to a regulator that no raw personal data ever left your tenant. Aggregate counts surface repeated findings at a glance.

Answer provenance

Trace any answer through the full pipeline: question, retrieval, AI synthesis, final response. Each cited chunk shows a confidence score. Click any citation to open the source at the exact page or timestamp.

Entity relations

People, organizations, and locations are identified and linked automatically. Ask “who works on the flagship project?” and Seekra traverses the knowledge graph — not just keyword matching, but content-aware understanding.

Org-tree access control

A tree of companies, departments, and teams. Documents scoped to a node are visible only to users in that subtree. Four classification levels (Public / Internal / Confidential / Restricted) plus per-user clearance.

Offboard with confidence

When an employee leaves, deactivate their account and their existing sessions are rejected instantly — no grace period. Their row is preserved for audit, so historical activity still references them.

How Seekra Compares

Three-way comparison.

Different tools solve different problems. General-purpose AI assistants excel at open-ended questions but were not built for regulated document archives. Traditional enterprise search keeps data inside your perimeter but stops at keywords. Seekra brings the natural-language, cited-answer experience of AI together with the residency, scoping, and auditability that regulated industries require — in one platform.

Deployment

Three tiers. One platform. You choose.

Seekra runs in three deployment tiers — from cloud-native to fully air-gapped — so you choose exactly where the AI runs and how isolated your environment is. The platform stays the same; only the AI location and network exposure change. All three tiers support single sign-on and the full feature set.

Cloud Native

Seekra runs in your cloud tenant and can leverage industry-leading external AI models, with PII automatically masked before any external call. Best AI capability, fastest to deploy.

Connectors: All connectors
SSO: Major cloud identity providers + on-prem
Tier 01 · Fastest

Self-Hosted

Seekra runs entirely on your own infrastructure — cloud VM or on-premises servers — with AI models hosted locally. Full data sovereignty. Nothing leaves your network.

Connectors: All connectors
SSO: Major cloud identity providers + on-prem
Tier 02 · Sovereign

Air-Gapped

Fully isolated self-hosted deployment with no external network connection. For classified, sovereign, or maximum-security workloads where even update traffic is not permitted.
